TradesHub privacy notice

A clear explanation of what we process, why we need it and the choices you have.

1. Who we are

TradesHub is operated by Jhivan Tayar, trading as Ardivann Studios, in the United Kingdom. The operator is the data controller for information used to create and administer TradesHub accounts, provide support, secure the service and manage subscriptions.

2. Information we process

Account and profile information

  • Name, email address, phone number and authentication identifiers.
  • Business name, trade, contact details, address, company or VAT information where supplied.
  • Notification preferences, account settings and subscription status.

Business records you choose to enter

  • Customer contact details, addresses and notes.
  • Jobs, appointments, quotes, invoices, line items, pricing and payment status.
  • Business logo, payment terms and bank details that you choose to show on documents.

Support, security and technical information

  • Support messages, categories, timestamps and request status.
  • Notification device tokens and delivery information.
  • Purchase tokens, product identifiers and subscription lifecycle information supplied by Google Play.
  • Server logs, error information and security events needed to operate and protect the service.

AI requests

When an AI feature is available and you choose to use it, TradesHub processes the instruction and relevant context you submit to generate a response. Do not include passwords, full payment-card details or information that is not necessary for the request.

3. Our legal bases: how and why we use information

  • To perform our agreement with you: create your account, synchronise records, generate documents, provide selected reminders and deliver requested features.
  • For legitimate interests: secure TradesHub, prevent abuse, troubleshoot problems, respond to support and improve reliability. We consider the impact on users before relying on this basis.
  • To meet legal obligations: respond to lawful requests and keep records where tax, accounting or fraud-prevention rules require them.
  • With your choice or permission: enable optional device notifications and process an AI request that you deliberately submit.

TradesHub does not sell personal information and does not use it for third-party advertising.

4. Information about your customers

TradesHub users decide what customer information to enter and why it is needed for their work. For that information, the user is normally the data controller and TradesHub acts as a service provider processing it on the user's instructions. Users are responsible for having a lawful basis, giving any required privacy information to their customers and keeping records accurate and proportionate.

5. Service providers and sharing

We share information only where needed to operate TradesHub or comply with law. Providers include:

  • Google Firebase: authentication, database, file storage, server functions, hosting and cloud messaging.
  • Google Play: Android subscription purchase, renewal, cancellation and refund information.
  • OpenAI: processing text supplied to an AI feature when that feature is used.
  • Email delivery providers: delivering support and essential service messages when configured.

Information may also be disclosed when required by law, to protect users and the service, or as part of a properly managed business transfer. We do not give other businesses permission to use TradesHub data for their own advertising.

6. International transfers

Some service providers operate internationally, so information may be processed outside the United Kingdom. Where UK data-protection law requires safeguards, we rely on recognised transfer mechanisms and contractual protections made available by those providers.

7. Retention and deletion

Operational data is generally kept while the TradesHub account is active. Individual business records can be removed in the app. A permanent account deletion removes the Firebase sign-in account, profile, customers, jobs, appointments, quotes, invoices, settings, support records, uploaded files and linked subscription records held by TradesHub.

Limited information may be retained where reasonably necessary for security, fraud prevention, dispute handling or a legal obligation. Google Play may retain its own purchase records under Google's policies. Deleting TradesHub does not cancel an active store subscription; that must be cancelled in Google Play separately.

Delete your account

You can delete it inside the app or use our web deletion route if you no longer have access to TradesHub.

8. Security

TradesHub uses access controls, account authentication, encrypted network connections, server-side ownership checks, restricted storage rules and protected subscription verification. No online service can guarantee absolute security, so use a unique password, protect your device and contact us if you suspect misuse.

9. Website storage and cookies

This public website does not use advertising or analytics cookies. Essential browser storage may be used on secure account pages where needed to complete an action such as resetting a password. We will update this notice before introducing optional analytics or marketing technologies.

10. Your rights

Depending on the circumstances, UK data-protection law may give you rights to:

  • ask for access to your personal information;
  • correct incomplete or inaccurate information;
  • request deletion or restriction;
  • object to certain processing;
  • receive information in a portable format; and
  • withdraw consent where processing relies on consent.

We may need to verify your identity before completing a request. You may also complain to the UK Information Commissioner's Office.

11. Children

TradesHub is a business-management service intended for people aged 18 or over. It is not directed to children, and we do not knowingly create accounts for children.

12. Contact and changes

Contact support@tradeshubapp.co.uk with privacy questions or requests. We may update this notice as TradesHub develops, providers change or legal requirements are updated. Material changes will be communicated in an appropriate way and the date above will be revised.
